How to keep your family's passports and IDs organized on your phone

Give each family member their own labelled place, store scans behind Face ID or a password manager, and write the expiry date where something will remind you. Apple Notes and a password manager are good, low-cost ways to do it; a dedicated organizer such as VizKeeper files documents by person and checks passports before a trip.

How to choose

Family paperwork has a few specific failure modes: a passport expires unnoticed, a scan is stored in an unprotected photo library, the document you need is on someone else's phone, or a child's details are mixed in with a parent's. Good setups handle these:

One caution applies to every option: a photo or scan does not replace the physical passport for border crossings. Keep the original with you and use the digital copy for reference and for the replacement process if something is lost.

The options

Apple Notes with locked notes

Best for: a free, simple start. Create one note per person, add photos or scans and the numbers and expiry date, then lock the note. Apple's support page explains locking and unlocking notes, and Face ID can be used to open them once set up. Limits worth knowing: a locked note's title remains visible in the list, so do not put a passport number in the title, and a note you have shared with others cannot be locked until you stop sharing it. There is no expiry reminder unless you also make a Reminders entry.

1Password

Best for: people already using a password manager. Secure notes and document attachments let you store scans next to the rest of your sensitive data, with sharing across a family plan. Pricing differs across sources and promotions, roughly a few dollars a month for individual and family plans, so check 1Password's pricing page. Confirm the storage allowance for attachments for your plan. It is not designed around trips or expiry timelines.

Apple Wallet and Digital ID

Apple's Digital ID can be created from a U.S. passport and, according to launch coverage, works at TSA checkpoints for domestic travel. Apple said it does not replace a physical passport and cannot be used for international travel. It is per person, tied to that person's device, and does not store your family's documents.

TripIt

TripIt's app listing says you can upload PDFs, photos, boarding passes and digital passport QR codes alongside a trip. TripIt Pro (listed at $48.99 a year) also lists passport renewal reminders and country-specific travel information. It is trip-centric rather than family-record-centric.

Files and iCloud Drive

Good for keeping original PDFs, such as a scanned birth certificate. Files does not add a lock to individual documents on its own, so pair it with a locked note or keep sensitive scans elsewhere.

Where VizKeeper fits

VizKeeper is an AI organizer for iPhone and iPad from YOMOO LLC, the publisher of this site. You save a photo or PDF of a passport or ID and it reads the names and dates, then files it in the IDs section. You add household members, and passports, IDs and passes are filed by person. Cards and IDs can be locked so they open only with Face ID, and full card numbers are never shown without it. Trip checks look at passport expiry and entry rules for everyone on a trip and remind you to check with the airline or embassy; they are prompts, not legal advice.

Privacy: card numbers, ID numbers and passwords are never sent to AI. With Keep everything on device turned on, nothing is sent to AI services at all, and answers then come from the saves' own words on the phone, which makes them less smart. When AI is allowed, the provider is Google Gemini.

Limits: it is new and has too few App Store ratings for a score. It is iPhone and iPad only, with no Android, web or Mac app, so a family member on Android cannot use it. It is not a password manager and not a government-recognized ID. Free is 100 saves and 10 questions a month; Plus is $3.99 a month or $29.99 a year, with a 7-day free trial on the yearly plan.

A checklist before any trip

  1. Check every traveler's passport expiry against your return date and the destination's rules.
  2. Confirm entry requirements with your airline or the destination's embassy.
  3. Make sure the name on each booking matches the passport.
  4. Carry the physical passports; keep digital copies as backup only.

Frequently asked questions

Is it safe to keep a passport scan on my phone?

It is safer when the scan is behind Face ID, a passcode or a password manager rather than loose in the photo library. A scan is a backup and reference, never a replacement for the physical passport at the border.

How do I track when my family's passports expire?

Write each expiry date where something will remind you: a Reminders entry, a calendar event, or an app that tracks expiry such as VizKeeper or TripIt Pro. Set the alert months ahead, since renewals take time.

Can I store my family's passports in Apple Wallet?

No. Apple's Digital ID is created from your own U.S. passport and, per launch coverage, works at TSA checkpoints for domestic travel. It does not store other family members' documents and is not accepted for international travel.

Can Apple Notes lock a note with Face ID?

Yes. Notes can be locked with your device passcode or a separate password, and Face ID can open them once set up. A locked note's title stays visible, and a shared note cannot be locked.

What if a family member uses Android?

VizKeeper is iPhone and iPad only. A password manager with a family plan or shared encrypted storage works across platforms.
